Niels Bohr Quantum Summer School terms and conditions

The Niels Bohr Quantum Summer School is organized by DeiC in collaboration with the University of Copenhagen, Technical University of Denmark, University of Southern Denmark, Aalborg University, and Aarhus University.

How We Process Your Data

DeiC is covered by the GDPR and is therefore obliged to inform you about the following when we process your data. DeiC is to be considered as the data controller when you submit your application. Your Application

The personal information you provide in your application will be used by the evaluation committee to select participants for the Niels Bohr Summer School 2025.

Application Requirements: Please submit the following documents:

  • Letter of Motivation (max. one A4 page)
  • CV
  • Grade Transcript
  • Recommendation Letter from your Ph.D. supervisor

Applications must be submitted online via the application form.

Data Processing and Security

  1. Consent-Based Processing
    • Your data is collected and processed based on your consent, which you can withdraw until the application process begins.
  2. Data Security
    • Submitted data is securely transferred via an SSL-encrypted form in Drupal.
    • Data is stored on a server located in Denmark.
  3. Access to Your Data
    • The summer school coordinator and DeiC webmasters will have access to all your submitted data.
    • Evaluation committee members (listed on our website) will review your application.
  4. Data Sharing
    • Your information will not be transferred outside of Europe.

Data Retention Policy

  • Rejected Applications:
    • All submitted data will be deleted when the summer school starts. Except for your university's name, which will be retained for statistical and documentation purposes.
  • Accepted Applications:
    • Submitted files will be deleted, but personal data will be retained for five years as required by Danish law.

Your Rights as a Data Subject

Under GDPR, you have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request corrections to any inaccurate or incomplete data.
  • Deletion: Request deletion of your data, subject to retention policies.
  • Objection/Restriction: Object to or request a restriction on specific processing activities.
  • Data Portability: Request a copy of your data in a structured, portable format.
  • Withdrawal of Consent: Withdraw consent for processing activities based on consent (e.g., marketing).
